Accounting Policy Statement

Propvexa Services LLC operates exclusively under a formal business-to-business (B2B) commercial invoicing structure engineered to meet the strict auditing, accounting, and compliance requirements of national mortgage servicers, GSEs, commercial property portfolios, and corporate asset managers. We do not operate an unverified retail web checkout; every invoice corresponds directly to an authorized work order and a verified photographic completion package.

1 Commercial Invoicing Workflow

To prevent invoicing discrepancies and guarantee transparency, every transaction progresses through three rigorous operational stages:

STAGE 01 Authorization & Work Order

Work commences solely upon written client authorization, signed proposal, purchase order, or electronic work order dispatch through an approved Vendor Management System (VMS).

STAGE 02 QC Photographic Audit

Before any invoice is released, our internal Quality Control department audits all date/time/GPS-stamped photos to verify 100% completion in compliance with HUD and investor allowable standards.

STAGE 03 Itemized Invoice Transmission

A formal commercial invoice is transmitted electronically with itemized line items, remittance details, and direct links to the complete photographic completion documentation package.

2 Institutional Commercial Credit Terms (Net 15 / Net 30)

We offer flexible commercial credit arrangements based on account verification:

  • Institutional Net 30 Terms: National mortgage servicers, asset management firms, financial institutions, and established commercial real estate companies are eligible for Net 15 or Net 30 billing terms upon successful review of our commercial vendor credit application (including Dun & Bradstreet rating and commercial bank references).
  • Standard / Residential Accounts: Invoices are Due Upon Receipt following delivery of the verified photographic completion report.
  • Capital Project Retainer: For large-scale capital renovations, structural repairs, or turnovers exceeding $2,500.00, a mobilization deposit (typically 30% to 50%) may be required prior to materials procurement, with the balance billed upon Substantial Completion.

3 Accepted Commercial Payment Methods & Remittance

Propvexa provides multiple enterprise-grade payment channels:

A. Electronic ACH Direct Transfer (Preferred Commercial Channel)

Direct bank-to-bank electronic transfer via the Automated Clearing House network. Official corporate bank routing, account numbers, and remittance email are clearly printed on the face of all verified commercial invoices.

B. Domestic Federal Wire Transfer

Available for immediate same-day settlement on major capital rehabilitation contracts, bulk multi-property work orders, or time-sensitive closing transactions.

C. Commercial Corporate Check

Commercial checks payable to Propvexa Services LLC may be remitted to our corporate mailing address: 5900 Balcones Drive, STE 100, Austin, TX 78731, USA.

D. Major Corporate Credit & Debit Cards

We accept Visa, MasterCard, American Express, and Discover through 256-bit encrypted, Level 1 PCI-compliant payment links embedded in our digital electronic invoices.

Cash Policy: For the safety of our field technicians and strict financial audit compliance, Propvexa Services LLC DOES NOT accept cash payments under any circumstances.

4 Banking Security & PCI-DSS Level 1 Compliance

Strict Non-Storage of Cardholder Data

Propvexa Services LLC complies with the Payment Card Industry Data Security Standards (PCI-DSS). We never capture, store, log, or transmit raw credit card primary account numbers (PAN), CVV security codes, or banking login credentials on our website or local web servers. All card transactions are processed securely through tokenized enterprise merchant payment processors utilizing TLS 1.3 encryption.

5 Texas Sales and Use Tax Disclosures

In compliance with the Texas Comptroller of Public Accounts and Texas Tax Code Chapter 151, state and local sales taxes are levied on taxable real property repair, remodeling, maintenance, and security services unless a valid tax exemption documentation is on file:

  • Tax Exemption Certificates: Institutional clients claiming tax-exempt status must furnish an executed Texas Sales and Use Tax Exemption Certificate (Form 01-339) or valid Resale Certificate prior to invoice generation.
  • Retroactive Tax Claims: Sales tax cannot be refunded or removed from issued invoices without an official state exemption certificate dated on or prior to the date of service performance.

6 Delinquent Accounts, Finance Charges & Mechanic's Lien Rights

Prompt invoice settlement is essential to maintain active field dispatch capabilities:

  • Finance Charges: Any balance remaining unpaid after thirty (30) days from invoice date shall accrue a late finance fee of 1.5% per month (18% per annum) or the maximum legal statutory rate in Texas.
  • Dispatch Hold: Accounts with undisputed balances exceeding forty-five (45) days past due will be placed on credit hold, temporarily pausing new work order dispatches until account reconciliation.
  • Mechanic's Lien Perfection: Propvexa Services LLC expressly reserves all statutory and constitutional mechanic's lien rights under Chapter 53 of the Texas Property Code for all unpaid labor and materials furnished to the subject real estate.
